All enquiries must be submitted exclusively through the VotaQuotes platform (www.votaquotes.elections.org.za). No telephonic or email enquiries will be accepted.

Bidders must submit their bid and pricing online via the VotaQuotes e-Procurement portal. Physical submissions can be placed in the tender box at Election House, Riverside Office Park, 1303 Heuwel Avenue, Centurion. Required documents include: 1) Technical Bid Response Sheet (Appendix A), 2) Pricing Schedule (Appendix B), 3) OEM/Distributor authorization letter, 4) Four contactable references (two for projectors, two for screens), 5) Product brochures/data sheets, 6) OEM warranty statements, and 7) OEM letter confirming a minimum 5-year product lifespan for projectors. Failure to submit required documentation by the closing date will invalidate the bid.

The bid will be evaluated based on technical compliance, functionality, and financial value. The process may include short-listing, presentations, and demonstrations. The Electoral Commission reserves the right to inspect the bidder's facilities. Points are allocated for relevant past experience as per reference requirements.

The project requires 330 portable mobile projectors (Full HD, 3000+ Lumens, LED, short throw), 150 foldable 100-inch projector screens (aluminium frame), 100 compartmentalized 60L trolley bags, 400 power extension cables (20m), and 400 8-way multi-plug adaptors with surge protection. All equipment must be brand new, of the same brand within each category, and include OEM warranty and support.

Total bid price must be submitted online. A detailed price breakdown (Appendix B) is required. Prices must be firm for 180 days and inclusive of VAT. Costs for hardware, software, warranty, and delivery to Centurion must be factored into the bid price.

Bidders must be registered on the VotaQuotes system. Mandatory compliance includes: 1) Submission of the Technical Bid Response Sheet, 2) Proof of reseller authorization/OEM agreement, 3) OEM warranty statements, 4) OEM letter confirming 5-year lifespan for projectors, and 5) Four contactable references for similar services rendered within the last 5 years.
