• Submit the bid to the bid box at 125 Mitchell Street, George or by email to [email protected] before 11:00 on 16 February 2026.
• Use the official bid forms (SBD 1, SBD 4, price declaration form, preference points claim form, etc.) – do not re‑type the forms.
• Include all documents listed in the checklist (valid tax PIN certificate, municipal account/lease, CIPC registration, share certificates, share‑holding breakdown, B‑BEE certificate, CSD number, declaration of interest, completed SBD forms, price schedule).
• All required documents must be attached; missing items may lead to disqualification.
• Sign the bid and provide proof of authority (e.g., company resolution).
• Late submissions will be rejected.
• Bids are valid for 60 days from the submission date.

• Provide group accommodation for 46 guests (38 students + 8 staff) on 20‑22 Feb 2026.

– Separate male and female rooms; staff accommodated separately if possible.

– Clean, serviced rooms with adequate ablution facilities.

• Conference venue for at least 65 participants, with lighting, ventilation and basic presentation equipment, available for the full camp duration.
• Kitchen or catering facilities complying with health‑safety regulations.
• Venue must be within ~100‑120 km of the Southern Cape/Klein Karoo region.
• Supplier must comply with all health, safety and fire regulations and provide secure premises.
• Quote must show cost per person/total, items included, any optional services and quotation validity.

• Submit a detailed price schedule (rate, total cost, VAT @15%).
• Invoice must be original, detailed and include VAT registration number; submit by the 1st business day of the month.
• Payment will be made by electronic bank transfer within 30 days of a correct invoice.
• No penalty interest will be charged for late invoice submission, but payment may be delayed to the following month.
• Performance security (bank guarantee or certified cheque) to be provided within 30 days of award as specified in the Special Conditions of Contract.

• Valid tax PIN certificate (SARS) and/or Tax Clearance Certificate.
• CSD registration number.
• B‑BEE certificate issued by a SANAS‑accredited verifier (required for preference points).
• Latest municipal account or lease agreement.
• CIPC company registration documents (including share certificates and share‑holding breakdown by race/gender).
• All directors/shareholders must be listed with ID numbers and tax references.
• No involvement of state employees or close relatives without proper authority.
• All documents must be current and in order; non‑compliance may lead to disqualification.
