Bids must include: SBD 4 (Bidder Disclosure), official quotation on company letterhead (stamped, with physical address, telephone numbers, Company Registration Number, VAT number if applicable, date, and signature), valid Tax Clearance Certificate (for goods/services ≥ R30,000), CSD registration number, B-BBEE Status Level Verification Certificate or sworn affidavit (for EMEs/QSEs), Workmans Compensation Fund certificate of good standing (where applicable), and Health and Safety file (where applicable). Quoting on fewer items/quantities than requested will invalidate the bid. Email submissions are also accepted.

Disqualification risks: Bidders or their directors/members cannot be state employees. Bidders listed in the Register for Tender Defaulters or List of Restricted Suppliers will be disqualified. Failure to submit mandatory documents (e.g., SBD 4, Tax Clearance Certificate, CSD number) invalidates the bid. Evaluation: 80/20 preference point system applies. 80 points for price (lowest acceptable bid scores highest). 20 points for B-BBEE Status Level of Contributor (higher B-BBEE levels score more). B-BBEE Status Level Certificate or sworn affidavit (for EMEs/QSEs) must be submitted to qualify for preference points. Foreign suppliers must disclose RSA residency, branch presence, permanent establishment, income source, or tax liability. TCS PIN not required if no RSA operations or tax liability.

Scope: Annual servicing of fire extinguishers at the Limpopo Provincial Office of the State Security Agency (SSA). Quotation must be on company letterhead, stamped, and include physical address, telephone numbers, Company Registration Number, VAT registration number (if VAT is claimed), date, and signature. Quotation must be valid for 30 days. Total bid price must be inclusive of VAT. Pricing must cover all requested items/quantities; partial quotes will be disqualified. Payment will be made within 30 days of receipt of original invoice and statement.

Mandatory: Tax Compliance Status (TCS) PIN from SARS or CSD registration number. Valid Tax Clearance Certificate required for bids ≥ R30,000. CSD registration number must be provided. B-BBEE Status Level Verification Certificate or sworn affidavit (for EMEs/QSEs) required to qualify for preference points. Workmans Compensation Fund certificate of good standing (where applicable). Health and Safety file (where applicable). No bids accepted from persons in the service of the state or entities with directors/members in state service.
