Scope: Provide travel management services for Johannesburg Tourism Company (JTC) officials attending the 12th African Federation of Institutes of Internal Auditors (AFIIA) Conference in Cape Town (27–29 May 2026).

Deliverables (all mandatory):

• Conference registration for 2 JTC officials (non-members).
• Economy flights: Johannesburg (OR Tambo/Lanseria) to Cape Town (26 May 2026, afternoon) and return (30 May 2026).
• Accommodation: Non-smoking rooms in Cape Town (check-in 26 May 2026, check-out 30 May 2026), including dinner, bed, and breakfast.
• Car hire: 1 x 5-door sedan (Type B, automatic) for 2 people + 2 large suitcases + 2 small bags. Collection and drop-off at Cape Town International Airport (26–30 May 2026).
• Petrol costs for hired car.
• Hotel parking (26–30 May 2026).
• Travel insurance for 2 officials.
• Shuttle services: Transfers between Parktown/Lotus Gardens and OR Tambo/Lanseria airports (26 and 30 May 2026).

Requirements:

• Prices must comply with Circular 97/Treasury’s booking guidelines or City of Johannesburg pricing.
• Use the principle of better pricing when securing services.
• Quote per line item for clarity.
• All prices in ZAR, inclusive of VAT (15%). Non-VAT vendors treated as such.
• Firm prices only (fixed, subject only to VAT or customs/excise levy changes).
• Prices must remain valid for 30 days from submission.
• No upfront payments; JTC will pay upon invoice submission for completed services.
• Successful bidder must have sufficient cash flow to manage the project.
• Quote must include all deliverables; partial quotes are non-responsive.

Pricing:

• Submit subtotal (excl. VAT), VAT (15% if applicable), and total quoted price (incl. VAT).
• All prices must be in South African Rand (ZAR), inclusive of VAT and all applicable taxes.
• Prices must be firm (no increases/adjustments considered).
• No second-hand/refurbished materials/parts allowed.
• Payment terms: No upfront payments. Payment made upon submission of invoices for completed services.
• For exchange rate-based prices: Successful bidder must obtain forward exchange rate cover within 14 days of order placement and provide proof with invoice.

Bonds/Guarantees: None specified.

Subcontracting:

• If subcontracting >25% of work, disclose subcontractor name, percentage, and attach their B-BBEE certificate.

Mandatory:
