• Submit the completed quotation by email to [email protected] no later than 27 February 2026 at 13:00 hrs.
• All documents must be returned in PDF format.
• Required returnable documents:
• Completed SBD4, SBD6.1, SBD6.2 (if applicable), SBD8 and SBD9 forms.
• B‑B‑BEE certificate or sworn affidavit.
• SARS tax clearance number and SARS status PIN.
• Any brochures/catalogues (optional).
• Prices must be firm, VAT‑inclusive and presented per the pricing schedule in the quotation form.
• Failure to submit any of the above documents will result in disqualification.
• The supplier is deemed to have read and accepted the Government Procurement: General Conditions of Contract (July 2010).

• Total points = 100 (80 points for price, 20 points for specific goals/B‑B‑BEE preference).
• Price scoring uses the 80/20 formula: Ps = 80 × (1 – (Pt – Pmin) / Pmin), where Pt is the quoted price and Pmin is the lowest responsive price.
• Preference points are awarded based on the supplier’s B‑B‑BEE status (e.g., Level 1 = 20 points, Level 2 = 18 points, etc.).
• The tender will be awarded to the responsive quotation with the highest combined score (price points + preference points).

Scope of services:

1. Prepare a media plan for the Youth Jazz Series.

2. Compile an electronic press kit (EPK).

3. Coordinate and set up interviews with radio, TV, print, online and social media influencers.

4. Secure media coverage across all listed platforms.

5. Draft media alerts, biographies, brochures and printed marketing material.

6. Distribute press releases and follow up for coverage.

7. Send event listings to media channels.

8. Attend online and in‑person team meetings and liaise with the Artscape Marketing Team.

9. Track media coverage, compile a media values report and deliver a final comprehensive media report at project end.

Required capabilities:

• Proven publicity experience in printed, television, internet and radio media within the jazz genre.
• Strong database of media contacts.
• Fluency in Afrikaans and English (reading and writing).

• All quoted prices must be firm, VAT‑inclusive.
• No specific bond or guarantee is mentioned; suppliers should submit pricing as per the quotation schedule.
• Pricing will be evaluated using the 80/20 price‑point formula (see evaluation criteria).
• Payment terms are not detailed in the document; assume standard Artscape terms unless otherwise instructed.

• Provide a valid B‑B‑BEE certificate or sworn affidavit (preference points awarded based on level).
• Submit SARS tax clearance number and SARS status PIN.
• Complete the required SBD forms (SBD4, SBD6.1, SBD6.2 if applicable, SBD8, SBD9).
• Ensure the supplier is not listed on the Register for Tender Defaulters or the List of Restricted Suppliers (disqualification clause).
