Quotations must be on official letterhead and duly signed. Include: delivery date, validity period of the quotation, and full warranty/guarantee details (period and extent). Prices must be in South African Rand, inclusive of VAT, delivery, insurance, and all taxes. No price adjustments or amendments will be considered after submission. Goods/services must be supplied upon receipt of a purchase order from ARC. Failure to submit signed SBD forms with the quotation may result in disqualification.

Mandatory CSD registration. Only bidders claiming specific goals will be scored on the 20 preference points. Bidders must comply with all SBD forms and disclosure requirements. No conflicts of interest or state employment conflicts allowed (per SBD4).

Prices must be quoted in South African Rand and inclusive of VAT, delivery, insurance, and all taxes. No price adjustments or amendments to delivery particulars will be considered. The supplier accepts full responsibility for the proper execution and fulfilment of the quoted goods/services. Payment terms: Goods/services must be supplied upon receipt of a purchase order from ARC. Validity period of the quotation must be clearly indicated.

Mandatory: Registration on the Central Supplier Database (CSD) with CSD registration number and full CSD report included in the bid. Valid Tax PIN. Valid B-BBEE certificate. Completed and signed Standard Bidding Documents (SBD) forms. Bidders must not be listed in the Register for Tender Defaulters or the List of Restricted Suppliers. Bidders must disclose any state employment, relationships with procuring institution staff, or interests in related enterprises. Collusive bidding or fraudulent claims may result in disqualification, penalties, or criminal prosecution.

B-BBEE requirements: Valid B-BBEE certificate must be submitted. Preference points for specific goals (20 points total) are allocated as follows: Ownership by HDIs (51%+): 6 points, Ownership by Women (51%+): 4 points, Ownership by Youth (51%+): 4 points, Ownership by Persons with Disabilities (51%+): 2 points, B-BBEE Status Level 1-4: 2 points, RDP Goals (Promotion of SMMEs): 2 points. Only bidders claiming these goals with supporting documentation will be considered for the points.

The General Conditions of Contract issued by National Treasury apply. The ARC Supply Chain Management Code of Conduct applies. ARC reserves the right to: accept or reject any special terms and conditions, perform due diligence on quotations, and benchmark prices. The supplier accepts full responsibility for the proper execution and fulfilment of the goods/services. No price adjustments or amendments to delivery particulars will be considered. Quotations must include: delivery date, validity period, and warranty/guarantee details (period and extent). Goods/services must be supplied upon receipt of a purchase order from ARC. Fraudulent claims or non-fulfilment of contract conditions may result in disqualification, cost recovery, contract cancellation, or restrictions from conducting business with any organ of state for up to 10 years.
