Failure to provide mandatory documents may result in disqualification. Do not alter the RFQ template or terms after submission. Ensure all items are inspected and free of damage, chips, or scratches upon delivery.

Supply and deliver the following items: External Door: Swartland/Winsters PD1, Z-Brace 813mm x 2032mm, Framed and Ledged & Braced (FLB) door, heavy-duty Meranti for exterior use, SANS 545 approved. Main gate external door: same specifications as above. Melamine boards: MELAWOOD, Supa White, Peen finish, 16mm thick, with 2mm IMPACT EDGING to match. Board sizes are finishing sizes (includes edging) with zero tolerance. Countertops: Formica Squareline, 32mm thick (900mm and 600mm widths). Edging must be near seamless and smooth. Hardware: Heavy-duty Double Slotted Wall Bands (White, 2500mm long), Heavy-duty Wall Band Shelving Brackets (White, 435mm long, for timber shelves). All items must be inspected upon delivery and free of defects (damage, chips, scratches). Defective items must be replaced.

Prices quoted must be valid for at least 60 days from the RFQ closing date and must be firm and inclusive of VAT.

Pricing must be valid for 60 days from the RFQ closing date, firm, and inclusive of VAT. Payment terms: 30 days from invoice receipt date (standard for Schedule 3A public entity). For shorter payment terms (e.g., 7 or 14 days from delivery), a Payment Guarantee approved by iThemba Labs Finance may be required. Advance payments require a Payment Guarantee. A firm delivery period must be specified in the quotation. Complete the pricing schedule with unit prices and totals (VAT inclusive).

Mandatory compliance: Registration on the Central Supplier Database (CSD) is compulsory (www.csd.gov.za). Bidders must provide a valid CSD Supplier Number and CSD Summary Report. Tax compliance: Verified via CSD and tax-compliant status PIN. Non-compliant bidders will be disqualified. Submit SBD 4 (Bidder’s Disclosure) and SBD 6.1 (Preference Points Claim) with B-BBEE certificate (SANAS-accredited) or sworn affidavit. Bidders listed in the Register for Tender Defaulters or List of Restricted Suppliers are automatically disqualified. Subject to the Preferential Procurement Policy Framework Act (PPPFA) and Regulations, 2022.

Contract terms: Payment terms are 30 days from invoice receipt (standard for Schedule 3A public entity). Shorter payment terms (7/14 days) require a Payment Guarantee approved by iThemba Labs Finance. Advance payments also require a Payment Guarantee. A firm delivery period must be specified. Late submissions are rejected. Changes to the RFQ template or terms after closing date/time are not considered. Contract is subject to PPPFA, Preferential Procurement Regulations 2022, and General Conditions of Contract (GCC).

Bidder’s declaration: Confirm no collusion, no disclosure of bid terms to competitors, no prior arrangements with procuring institution officials, and no involvement in drafting specifications. False declarations may lead to disqualification, cost recovery, contract cancellation, public sector restrictions (up to 10 years), or criminal prosecution. Joint ventures/consortia are exempt from collusion rules.
