• Evaluation stages (sequential unless SAA decides to run steps in parallel):

1. Administrative – verify all returnable documents are completed, signed and received by the closing date.

2. Substantive – confirm a fully priced schedule with every line‑item priced; any missing price leads to disqualification.

3. Technical/Functionality – minimum qualifying score 70 % based on:

• Portfolio of completed exhibition stands (points for 4, 3, 2, 1 projects – up to 40 %).
• Reference letters (up to 40 %).
• Delivery lead‑time matrix (up to 20 %).

4. Pricing – price evaluation after passing the above stages.

5. Specific Goals (pre‑award) – 20 preference points: B‑BBEE Level 1/2 (10 pts) and EME/QSE ≥51 % black ownership (10 pts).

• Bidders must meet the 70 % technical threshold to be considered for price and B‑BBEE scoring.
• SAA reserves the right to award the contract at its sole discretion and is not obliged to accept the lowest price.

Scope: Conceptualise, design and manage SAA exhibition stands for various trade‑fair events (≈15‑20 events per year) over a 3‑year contract.

Deliverables:

• 3‑D design presentation for the 2026 Meetings Africa stand (6 m × 3 m, stand K49).
• Technical drawings and layout showing branding, furniture, décor and all listed accessories (tables, chairs, lounge area, storage, LED display, coffee station, DB box, reception, refrigerator, brochure stands, lighting, waste bins, charging stations).
• Stand build‑up and dismantle services.
• Project management and on‑site exhibition support.

Performance standards: design must provide maximum brand visibility, aesthetic appeal and a relaxed atmosphere; all items must comply with SAA General Conditions of Contract.

• Prices must be quoted exclusive of VAT and be firm (only VAT may vary).
• Provide a fully priced schedule covering every line‑item listed in the specification.
• No mention of performance bonds, guarantees or specific payment terms in the RFQ.
• Submit the pricing as individual components to allow technical and functional assessment.

• Provide a valid Original Tax Clearance Certificate (must be current at the time of submission).
