• Scope: Supply and delivery of catering, catering equipment, and services for Iziko Women’s Day 2026 events on 08 August 2026.
• Locations: Iziko South African Museum (25 Queen Victoria Street, Cape Town, 8001) and Iziko Old Town House (149 Longmarket Street, Cape Town City Centre, 8000).
• Event segments:

• Morning wellness session (09:00–10:30): 50 ladies + 10 staff. Catering includes fruit skewers x5, smoothies, water 500ml.
• Daytime panel discussion (12:00–15:00): 100 ladies. Catering includes meat platter x15, vegetarian platter x10, savory platters x10, cheese board x5.
• Evening concert (18:00–22:00): 150 women. Catering includes meat platter x20, vegetarian platter x10, savory platters x10, cheese board x5.

• Staff requirements:

• Daytime event (08:00–16:00): 3 morning staff and 4 midday staff for setup, replenishment, and cleanup.
• Evening event (18:00–21:00): 6 evening staff for setup, replenishment, and cleanup.

• Catering equipment: Cutlery for 150 pax (morning/daytime) and 100 pax (evening), corkscrews x10, serviettes x200, side plates, glasses x110, champagne flutes, toothpicks, wine glasses.
• Beverages: Soft drinks x100 (350ml), energy drinks x20 (250ml), still water x200 (500ml), sparkling water x50 (500ml).
• Special rider beverages for guests and performers, with price capped at R1000 per beverage item.

• Deliverables must meet specified quantities and descriptions:

• Catering: fruit skewers, smoothies, water, meat/vegetarian/savory platters, cheese boards.
• Staff: required numbers for setup, replenishment, and cleanup at specified times.
• Catering equipment: cutlery, corkscrews, serviettes, side plates, glasses, champagne flutes, toothpicks, wine glasses.
• Beverages: soft drinks, energy drinks, still/sparkling water in specified quantities.
• Rider beverages for guests and performers as listed, with price caps.

• Complete pricing schedule with VAT-inclusive amounts for:

1. Catering (morning, daytime, evening events).
2. Staff (morning, midday, evening).
3. Catering equipment.
4. Beverages.
5. Iziko guest riders (beverages for specific individuals and performers).

• Total evaluated bid price is sum of items 1 to 6.
• Pricing notes:

• Only amounts in the pricing table are considered for evaluation.
• No extra costs allowed unless disclosed and approved in writing.
• Attach breakdown of assumptions, resource categories, and rates.

• Complete the pricing schedule with inclusive VAT amounts for:

• Catering (morning, daytime, evening events).
• Staff (morning, midday, evening).
• Catering equipment.
• Beverages.
• Iziko guest riders (beverages for specific individuals and performers).

• Total evaluated bid price is the sum of items 1 to 6, used for price evaluation under the 80/20 preference point system.
• Pricing notes:

• Only amounts captured in the pricing table will be considered for evaluation.
• No additional costs, disbursements, or incidental charges will be paid unless disclosed in the bid and approved in writing by Iziko.
• Attach a breakdown of assumptions, resource categories, and rates used.

• Provide a Central Supplier Database (CSD) report with supplier number, company details, and tax status verification.
• Submit a valid B-BBEE certificate or sworn affidavit.
• Include a signed RFQ document.
• Provide a valid tax certificate and/or tax PIN.
• Complete SBD 4 (Bidder’s Disclosure) and SBD 6.1 (Preference Points Claim Form).
• Submit a Certificate of Acceptance (COA).
• Bidders must declare any interests, state employment, relationships with procuring institution officials, and other related enterprise interests.
• False declarations lead to disqualification; verification will be done against CSD reports.

• Submit a valid B-BBEE certificate or sworn affidavit.
• Specific goals evaluation includes points for black ownership: 50% or more = 20 points, less than 50% = 10 points, 0% = 0 points.
• Declare company/firm type and provide registration details.
• False B-BBEE claims may lead to disqualification, contract cancellation, and legal action.

• The proposal and appended documentation may form the basis of a formal contract to be negotiated.
• A mere offer and acceptance does not constitute a formal contract until a written agreement/project charter is concluded.
• Iziko reserves the right to accept or reject any quotation and withdraw the RFQ before award.
• Any alteration to the RFQ document beyond completing bidder details and price may render submission non-responsive.
• False declarations or fraudulent claims may lead to disqualification, contract cancellation, cost recovery, restriction from public sector business, and criminal prosecution.
