• Complete and submit all required SBD forms: SBD 1 (Parts A and B), Section B (CSD declaration), SBD 3.1 (Pricing Schedule), SBD 4 (Bidder’s Disclosure), SBD 6.1 (Preference Points Claim Form), and Section D (Authority to Sign/Enterprise Resolution Letter).

• Alterations must be initialled; correcting fluid is prohibited.

Scope of work:

• Remove two existing steel garage roller doors (sizes: 5m x 3m and 3.25m x 3m).
• Convert the openings to framed aluminium glass doors with privacy mirror film, matching the building exterior.
• Install secure locking systems and fittings for the new glass doors.
• Demolish part of brick exterior walls and supply/install five additional aluminium glass windows to improve ventilation and natural light.
• Window specifications: one window 64 cm (width) x 87 cm (height); four windows each 157 cm x 157 cm.
• Work location: Moses Kotane Research Institute, 190 K.E. Masinga Road, Durban, 4001.
• Goods supplied must conform to standards specified in the bidding documents.
• The purchaser reserves the right to inspect the supplier’s premises and reject non-compliant supplies.

• Submit four reference letters for similar work done in the last five years, each for a minimum value of R250,000.
• Provide CVs and qualifications for key personnel: Supervisor (NQF 6/N6 qualification), Artisan (Trade Test Certificate), and General Worker.
• Submit a company profile with a signed organogram showing relevant personnel.

• Goods must conform to standards in the bidding documents.
• The purchaser may inspect the supplier’s premises and records.
• Pre-bid testing is at the bidder’s cost.
• Inspections, tests, and analyses may be conducted; costs borne by the purchaser if compliant, by the supplier if non-compliant.
• Non-compliant supplies may be rejected and must be replaced at the supplier’s cost.

• Complete SBD 3.1 Pricing Schedule with a detailed breakdown of costs.
• Include line items for removal of existing doors, installation of glass doors, and installation of additional windows.
• Specify subtotal, discount (if any), VAT at 15%, and grand total.
• Indicate delivery period and whether the offer is firm or not firm.

• Submit a detailed price quotation on SBD 3.1 (Pricing Schedule), indicating the grand total. Attach a breakdown if space is insufficient.
• Include all costs: removal, supply, installation, and VAT.
• Price adjustments are allowed only as specified in the bidding documents.
• Payment terms: The purchaser will pay within 30 days after submission of a valid invoice and delivery note.
• Payment will be in South African Rand.
• Prices quoted in your bid cannot be varied except as authorised in special conditions or bid validity extensions.
• A performance security may be required within 30 days of award, as specified in special conditions.

• Tax Compliance: Provide your SARS Tax Compliance Status PIN or a printed TCS certificate. If registered on the Central Supplier Database (CSD) but no PIN, provide your CSD number.
• Central Supplier Database: You must declare that your CSD information is correct and up to date via Section B.
• B-BBEE: Submit a B-BBEE certificate or affidavit to claim preference points for specific goals.
• Company Registration: Provide a copy of your Enterprise Registration Certificate (CIPC).
• Mandatory Document: A valid Letter of Good Standing from the Compensation Fund (COIDA) is required.
• Ownership Proof: Submit ID copies for ownership claims and, if applicable, a doctor’s certificate/proof of disability letter.
• Persons in the service of the state, or companies with such directors/members, are not eligible to bid.

• Warranty: Goods are warranted to be new, defect-free, and conform to specifications. Warranty valid for 12 months after delivery acceptance or 18 months after shipment, whichever is earlier.
• Payment: Purchaser will pay within 30 days of invoice submission.
• Price Fixity: Prices cannot vary from the bid except as authorised.
• Subcontracting: Notify the purchaser in writing of any subcontracts.
• Delays and Penalties: Notify purchaser of delays; penalties may apply for late delivery.
• Termination: Contract may be terminated for default, corruption, or fraud.
• Dispute Resolution: Attempt amicable resolution, then mediation, then South African courts.
• Governing Law: South African law applies.
• Performance Security: May be required within 30 days of award.
