- Submit bids and supporting documents in the bid box located at polokwane international airport, admin block, n1 north to makhado, gateway weg, polokwane, 0700, on or before the closing date and time. - Bids must be delivered by the stipulated time; late bids will not be accepted. - Use the official forms provided (do not re-type) and complete all sections in black ink; correction fluid is not allowed and any cancellations must be initialled by the authorised signatory. - Clearly mark envelopes as follows: - exhibit 1: administrative and mandatory documents (refer to gate 0, table 1) - exhibit 2: functionality responses and supporting documents for technical evaluation (refer to gate 1) – electronic submission on usb/memory card/external hard drive, clearly marked - exhibit 3: pricing schedule/bid offer - exhibit 4: bidder compliance checklist for technical evaluation - ensure all required documents listed in table 1 are submitted; non-submission of any document will result in disqualification. - Attend the compulsory briefing session and sign the attendance register. - Provide proof of authority (e.g., Company resolution) when signing the bid. - Bids must remain valid for 150 days from the closing date. - Do not contact the airport regarding the bid from submission until award; any attempt to influence evaluation may lead to rejection. - Clarification requests must be submitted by email to the contact person up to 7 working days before the closing date.
