RFI: ad-hoc office furniture relocation services for the road accident fund (5-Year contract)

All enquiries must be submitted in writing prior to the submission date, referencing specific paragraph numbers where appropriate. Bidders must indicate their bidding structure (individual, joint venture, consortium, subcontractors, or other) and provide full company details (name, registration number, VAT number, contact person, telephone, fax, email, postal and physical address). For joint ventures/consortia, details must be provided for each member and the prime contractor.

For subcontractors, returnable documents must include details for each subcontractor: name, registration number, VAT number, contact person, telephone, fax, email, postal address, and physical address.

Scope: Ad-hoc relocation of assembled and unassembled office furniture and/or equipment as required by the Road Accident Fund (RAF). Relocation scenarios include: from one RAF office to another, to/from offsite storage, or to/from the lessor’s facility. Rare inter-provincial relocations may occur. No asset lists or addresses will be provided at this stage; the requirement is for rates only.

Additional pricing items: vehicle transportation (car hire) per day, overtime labour (weekdays, weekends, public holidays).

Bidders must provide rates for the following: 1-ton truck per km, 4-ton truck per km, 8-ton truck per km, accommodation per person, travelling cost per person, vehicle transportation (car hire) per day, handling fee, overtime labour (weekdays, weekends, public holidays), and forklift per day. The requirement is for unit rates, not total costs.

Service provider must be: a registered entity in terms of South African law, listed on the National Treasury Central Supplier Database (CSD), and tax-compliant. Companies or directors listed on the National Treasury register for Restricted Suppliers and/or Tender Defaulters will be automatically disqualified. The RAF reserves the right to appoint more than one bidder.
