RFQ: professional handling, transport, packing, storage, and reinstatement of museum artefacts for iziko museums

Submit all required documents via email to [email protected], [email protected], and [email protected] by 21 May 2026 at 11:00 AM. Required documents: Signed RFQ document, Central Supplier Database (CSD) report with supplier number, Tax Status Verification PIN and tax registration number, detailed pricing structure on company letterhead (full cost breakdown, inclusive of VAT, disbursements, and escalations), valid B-BBEE certificate or sworn affidavit, valid tax certificate and/or tax PIN, proposed timeline for execution, and company profile detailing experience in handling/transporting museum collections or similar specialist items. Failure to submit any required document may disqualify the quotation. Emailed submissions are accepted, but the onus is on the bidder to confirm receipt. Alterations to the tender document (other than filling in details and price) will disqualify the bidder. Quotes must be valid for 30 days from the closing date.

Evaluation uses the 80/20 preference point system: 80 points for price (lowest acceptable tender scores highest) and 20 points for specific goals. Specific goals: B-BBEE status (50%+ black ownership = 20 points; <50% black ownership = 10 points; 0% = 0 points). Proof of B-BBEE certificate, company registration, and CSD report is required to claim points. Iziko promotes 'best value' (not just lowest price), considering expertise, experience, and technical proposals. Failure to submit proof for specific goals means no points are awarded for those goals.

Scope of work: (a) Removal of museum household furniture collection from Pack-Art CC, Unit 1, 19 Senna Road, Killarney Gardens, Milnerton (see Annexure 1 for item list). (b) Professional transportation of the collection to the new service provider’s storage facility. (c) Secure storage for 6 months (payable monthly; may be extended). (d) Additional protective packing/handling as needed. (e) Return transportation to Nelson Mandela Prison House Museum, Paarl after storage. (f) Unpacking and reinstatement of artefacts to original/designated locations. (g) Comprehensive insurance cover for R100,000 content value for the contract duration. Current collection status: Wrapped, packed, and secured in boxes at Pack-Art CC.

Pricing must include a detailed cost breakdown on company letterhead, inclusive of VAT, disbursements, and escalations (if applicable). Payment terms: Based on deliverables received, work completed satisfactorily, and approved invoices. Quotes must be valid for 30 days from the closing date. Pricing schedule must cover: (1) Removal of museum collection, (2) Transportation of collection, (3) Storage services (monthly for 6 months), (4) Packing services, (5) Return transportation, (6) Unpacking and reinstatement, (7) Insurance cover (R100,000 content value). No cost variations allowed after award.

Mandatory: CSD registration with supplier number, valid tax certificate and/or tax PIN, Tax Status Verification PIN, and signed SBD 4 (Bidder’s Disclosure) form. B-BBEE certificate or sworn affidavit required for preference points. Suppliers listed on the Register for Tender Defaulters or List of Restricted Suppliers will be disqualified. Company must not have directors/employees employed by the state or relationships with Iziko employees (must declare if applicable). Collusive bidding or fraudulent claims may result in disqualification, contract cancellation, or legal action.
