• Completed RFQ form with bidder's name, CSD MA number, signature, and submission date.
• Completed SBD documents (including SBD 4, SBD 6.1, and SBD 7 if awarded).
• Valid B-BBEE certificate or sworn affidavit (for EMEs and QSEs).
• Tax Compliance Status (TCS) PIN or certificate from SARS, or CSD number if TCS is unavailable.
• Proof of authority to sign the bid (e.g., company resolution).
• POPIA consent form (signed).

Disqualification risks:

• Incomplete or late submissions.
• Failure to submit required documentation (e.g., B-BBEE, TCS, CSD registration).
• Non-compliance with tax obligations or state employment restrictions.
• Submission not on official forms or in the prescribed manner.

Mandatory: 1. Registration on the Central Supplier Database (CSD). 2. Submission of a valid B-BBEE certificate or sworn affidavit. 3. Tax compliance (SARS PIN/TCS certificate or CSD number). 4. Scope of work includes:

1. Uninterrupted Power Supply (UPS): Supply and install a UPS system to provide stable, uninterrupted power to critical ICT infrastructure in the server room.

2. Cat6A Network Cabling Installation: Supply, install, test, certify, and commission structured network cabling infrastructure.

3. Boardroom Presentation Solution: Supply, install, configure, test, and commission a boardroom presentation solution with the following technical requirements:

• Ceiling-mounted laser projector with minimum 5000 ANSI lumens brightness.
• Native WUXGA (1920 x 1200) resolution, 16:10 aspect ratio.
• Minimum 20,000-hour laser light source life.
• HDMI and LAN connectivity, wireless presentation capability.
• Integrated speaker and compatible ceiling mounting kit.
• Suitable for a 12-16 seater boardroom with a 100-120 inch projection screen.
• Must support Microsoft Teams Room Presentations.

• Central Supplier Database (CSD) registration is mandatory for evaluation.
• Tax Compliance: Submit a Tax Compliance Status (TCS) PIN or certificate from SARS. If unavailable, provide a CSD number. Apply for TCS via e-filing at www.sars.gov.za.
• B-BBEE: Submit a valid B-BBEE certificate or sworn affidavit (for EMEs and QSEs) to qualify for preference points. Ensure GEP has your valid B-BBEE certificate at all times.
• Consortia/Joint Ventures/Sub-Contractors: Each party must submit separate TCS certificates, PINs, or CSD numbers.
• State Employment Restrictions: No bids will be considered from persons in the service of the state, companies with directors in the service of the state, or close corporations with members in the service of the state.
• Declaration of Interest: Complete and submit the SBD 4 form to declare any relationships with state employees involved in evaluation or adjudication.
• POPIA Compliance: Submit a signed POPIA consent form for processing personal information.

POPIA Compliance:

• Submit a signed consent form in terms of section 11 of the Protection of Personal Information Act (POPIA).
• GEP will process personal information for evaluating the RFQ/RFP submission, including verification and background checks.
• Information may be shared with third parties, including GEP’s affiliates and service providers, some of which may be outside South Africa.
• Withdrawing consent may result in the inability to process the RFQ/RFP.
