• Completed MBTC RFQ forms and Special Conditions.
• Valid company quotation on letterhead.
• Completed SBD 4 (Bidder’s Disclosure) and SBD 6.1 (Preference Points Claim Form).
• CSD Supplier number (compulsory).

Key submission rules:

• Quotation must be VAT-inclusive and include delivery costs.
• Quotation must be valid for 90 days.
• Price breakdown is mandatory.
• Strict adherence to closing date and time (19/05/2026 @ 11h00).
• No prepayment or upfront payment will be made.

Disqualification risks:

• Failure to complete MBTC RFQ forms or Special Conditions.
• Missing SBD 4 or SBD 6.1.
• Non-compliance with CSD registration.
• Late submission.

Evaluation system: 80/20 preference point system.

Scoring breakdown:

• Price: 80 points (awarded using the formula Ps = 80(1 - (Pt - Pmin)/Pmin), where Pt = tender price, Pmin = lowest acceptable tender price).
• Specific Goals: 20 points (awarded for B-BBEE-related criteria such as youth ownership, women ownership, black ownership, disability, and locality).

Preference points for specific goals (80/20 system):

• Youth ownership: 1-4 points (scaled by percentage).
• Women ownership: 1-4 points (scaled by percentage).
• Black ownership: 1-4 points (scaled by percentage).
• People living with disabilities: 4 points.
• Locality: 1-4 points (4 for Nelson Mandela Bay Metro, 3 for Eastern Cape, 2 for neighbouring provinces, 1 for other provinces, 0 for outside RSA).

Note: Failure to submit proof for specific goals will result in 0 points for that category.

Scope: Supply, delivery, and operation of equipment hire for the Mandela Bay Jazz Legacy Festival (29-30 May 2026). Setup required on 28 May 2026.

Key deliverables:

• Uninterrupted operation of all hired equipment during the event.
• Immediate rectification of any equipment failures or technical issues.
• Provision of all specified equipment not marked as 'MBTC' (already available at the institution).

• Backline: Drums (Tama Starclassic Power + sound), Cymbals (Sabians/Zildjian AAX/K Custom Range), 18-inch Bass Drum, Bass Amp (MarkBass H, Mark 4x10 Cab), Double Bass (Mark Bass H, Mark 4x10 Cab with Pickup), Guitar Amp (Fender Twin Reverb), Keys (Synth-Roland/Jupiter 8, Motif XF8/Montage 8).
• Microphones: 8 x SM58 vocal mics, Pickup Microphone, 2 x Wedge Microphones, Sound cables.
• Monitors: 4 x Wedges, 1 x Wedge (multiple instances), 2 x Front/Back Piano Sound Cables.
• Mixers: 1x FOH Console, 1x Monitor Mixer, Mixer accessories.
• Personnel: FOH Mixer Engineer.
• Recording: Event multitrack recording.
• Accessories: Music Stands + Lights (MBTC), Piano Sound Cables.

Note: Items marked 'MBTC' are provided by the Mandela Bay Theatre Complex and do not require quotation.

Pricing must be VAT-inclusive and include delivery costs. Quotation must be valid for 90 days. Breakdown of prices is mandatory. No prepayment or upfront payment will be made by the Mandela Bay Theatre Complex.

CSD (Central Supplier Database) registration is compulsory. Complete SBD 4 (Bidder’s Disclosure) and SBD 6.1 (Preference Points Claim Form) as part of the submission. Bidders listed in the Register for Tender Defaulters or the List of Restricted Suppliers will be disqualified.
