Creating Procurement Reports with Word and PDF Exports from Tenders-SA

Procurement data is often needed in document formats that can be shared with stakeholders, included in reports, printed for review, or presented in meetings. While spreadsheet formats like Excel and CSV are ideal for data analysis, Word documents and PDF files are better suited for formatted reports and professional presentations.

Tenders-SA provides Word (.docx) and PDF (.pdf) export options that produce branded, formatted documents with structured data tables. In addition to the data export system, the analytics dashboard offers separate PDF report generation with chart capture. This guide explains the available document export options and how to use them.

The Two Document Export Systems

Tenders-SA has two distinct systems that generate Word and PDF output:

  • Data Export System: Server-side generation of Word and PDF files from structured procurement data. Available via the Export Configurator in the Dashboard.
  • Analytics Export System: Client-side generation of PDF reports from the analytics dashboard, including chart images captured using html2canvas.

Both systems produce branded documents with the Tenders-SA colour scheme and formatting, but they serve different purposes and have different output characteristics.

Word Document Exports (.docx)

The Word export format produces a .docx file with the following structure:

  • A branded header section in the Tenders-SA green colour (#007A5E) containing the document title.
  • A metadata line below the header indicating the dataset name and export date.
  • A formatted data table with column headers and alternating row colours for readability.

Word documents are suitable for including in tender preparation files, sharing with team members who need a formatted reference document, or printing for physical review. The .docx format is editable, allowing you to add notes, commentary, or additional formatting after export.

The Word files are generated server-side using the docx library. The output is compatible with Microsoft Word, Google Docs, LibreOffice, and other applications that support the .docx format.

PDF Data Exports

The PDF data export produces a landscape A4 document with:

  • A branded green header bar at the top of the page.
  • A paginated table with all exported records, including automatic page breaks for large datasets.
  • Alternating row colours for readability.
  • Document metadata including title and export timestamp.

PDF exports are generated server-side using jsPDF with the jspdf-autotable plugin for table rendering. The landscape orientation provides more horizontal space for data columns than portrait would.

PDF files are ideal for sharing with external stakeholders who should not edit the document, attaching to formal reports or submissions, printing for review or filing, and archiving fixed snapshots of procurement data at a specific point in time.

Analytics Dashboard PDF Reports

The analytics dashboard at /dashboard/analytics includes a separate export system designed for visual reports. The ExportControls component provides three export options:

  • PDF Report: A full dashboard report generated in-browser using jsPDF. Charts are captured as images using html2canvas and embedded in the PDF alongside summary data.
  • CSV Data: The underlying analytics data exported as a CSV file for further analysis.
  • Chart Images: Individual chart elements exported as PNG images, or multiple charts packaged into a ZIP file for use in presentations or external documents.

The analytics PDF report is generated entirely on the client side. When you request a PDF report, the browser captures the visible dashboard charts as PNG images, assembles them into a PDF document with summary data, and triggers a download. This approach preserves the visual appearance of charts and graphs that server-side rendering cannot capture.

Analytics PDF and PNG exports require a Professional subscription. CSV data export from analytics requires a Starter subscription.

Accessing Document Exports

Both Word and PDF data exports are available through the Export Configurator in the Dashboard at /dashboard/exports. The process is the same as for other formats:

  1. Navigate to Dashboard > Exports.
  2. Select your dataset (Active Tenders, Closed Tenders, Awarded Tenders, Awarded Companies, or Company Profiles).
  3. Apply filters to narrow the data to your area of interest.
  4. Select Word (.docx) or PDF (.pdf) as the export format.
  5. Set the record limit (1 to 5,000) and generate the export.
  6. Download the file from the provided link. Exported files are available for 24 hours.

Analytics PDF reports are accessed from within the analytics dashboard at /dashboard/analytics using the Export controls.

Practical Use Cases for Document Exports

Word exports are well suited for building tender preparation files. Export awarded tenders in your category as a Word document, then add your own notes and analysis for each competitor or opportunity. The editable format lets you build a cumulative intelligence file over time.

PDF exports are better for creating fixed-record reports. Export a snapshot of active tenders at month-end as a PDF for your management report, or create a PDF record of awarded tenders in your province for quarterly business reviews. The paginated landscape format prints cleanly for physical filing.

Analytics PDF reports serve a different need: visual performance reporting. If you monitor tender win rates, bid volumes, or category trends through the analytics dashboard, the PDF report provides a formatted summary with charts that you can share with your team or board.

Limitations

Word and PDF exports share the same limitations as the broader export system: a maximum of 5,000 records per export, 24-hour file retention, no custom column selection, and no scheduled export capability. Analytics PDF generation runs in the browser and depends on the client device's performance for chart capture and assembly.

The PDF output does not currently comply with PDF/A or PDF accessibility standards. It is designed for general business use, not archival or regulated reporting requirements.

APPOINTMENT OF A PROFESSIONAL SERVICE PROVIDER TO PERFORM AN EXTERNAL REVIEW OF INTERIM AND ANNUAL FINANCIAL STATEMENTS FOR EHLANZENI DISTRICT MUNICIPALITY AND ITS FOUR LOCAL MUNICIPALITIES Ehlanzeni District Municipality hereby invite tenderer s who are capable and experienced to perform an external review of the annual financial statements 1. Only tenderers who have provided the following mandatory information and documents to be used to evaluate the tenderers responsiveness will be considered for further evaluation on functionality and preference specific goals. 1.1 Only tenderers who are registered on the Central Supplier Database (CSD) will be considered and the copy of the full CSD report not older than three months should be submitted. 1.2 Form of offer must be firm, VAT and other tax inclusive and valid at least Ninety (90) days from the closing date. 1.3 No tender shall be considered for the person who are in the service of the state, 1.4 Valid SARS PIN certificate must be attached, 1.5 Attached original Certified copy of company registration documents issued by Companies and Intellectual Property Commission (CIPC) and tenderer must attach shareholder’s certificates where applicable. 1.6 Attached original Certified copies of Identity Documents (ID) of all company directors, 1.7 Attach verifiable Municipal Account/s not older than three months for both the tenderer and entity owner/s or director/s. In areas where the municipalities are not issuing municipal accounts, attach valid lease agreements or confirmation of residence or address for both the tenderer and entity owner/s or director/s issued by a relevant authority not older than three months. 1.8 Tenderers submitting tenders as a joint venture or consortium must attach a signed agreement by all parties to the joint venture or consortium. 1.9 Fully completed tender document as issued and signed must be submitted on the PDF document that has been issued.
