The municipality may correct obvious errors (decimal misplacement, omissions, arithmetic) and notify the bidder.

Scope: Build a cab for a Case JX75 tractor.

The tractor is to be collected from Struisbaai and delivered to Bredasdorp after completion.

A municipal representative must be satisfied after delivery inspection before invoice submission.

Cab specifications:

• Standard cab of steel construction with epoxy finishing.
• Safety glass 6mm.
• Sliding windows (left, right and rear).
• Lockable swinging doors on left and right sides.
• Front screen wiper with blades and water nozzle.
• Roof top.
• Fan unit with 2x carbon filters.
• Extra set of carbon filters.
• L.E.D beacon light on roof (amber).
• Beacon protect frame (steel).
• Removal of frame with roof shade.
• Cab lights front.
• Cab indicators front.

Transport lines in pricing schedule: collect from Struisbaai, deliver to Bredasdorp.

Full/detailed specifications of items quoted must be provided (brochures or catalogues).

Cab to be built as per the attached image and specification list.

Tractor to be collected from Struisbaai and delivered to Bredasdorp after completion.

Delivery inspection by municipal representative required before invoice submission.

Delivery period after official order must be stated.

Schedule 1F: list of similar projects completed within the last 5 years must be provided.

Only completed projects will be considered; current or ongoing projects excluded.

References must be provided and will be verified by the municipality.

Incorrect information leads to automatic disqualification.

Proof of registration with the Retail Motor Industry Organization is required.

Goods must conform to the standards in the bidding documents and specifications.

Supplier must permit inspection of records and premises by the purchaser.

Pre-bidding testing at bidder's cost.

If inspections/tests show non-compliance, costs borne by supplier; goods may be rejected and must be replaced at supplier's cost.

Rejected goods must be removed immediately; failure allows purchaser to procure substitutes at supplier's expense.

Pricing schedule must be completed on official forms, prices inclusive of VAT.

Bidder must indicate VAT vendor status.

Prices include all labour, transport and related costs.

Rates fixed for the financial year.

Total RFQ value below R300,000; one service provider appointed.

Delivery period after official order must be indicated.

Line items: cab construction items (steel cab, safety glass, sliding windows, lockable doors, wiper, roof top, fan unit with carbon filters, extra filters, LED beacon, beacon frame, removal of frame with roof shade, cab lights, cab indicators) plus transport collect Struisbaai and deliver Bredasdorp.

Pricing format: fixed prices on the official pricing schedule, inclusive of VAT.

Prices must include all labour, transport and related costs — no hidden costs.

Rates remain fixed for the duration of the financial year; no price adjustments allowed.

Bidder must indicate whether a registered VAT vendor; if not, both columns (excl and incl VAT) must be the same.

Total RFQ value is below R300,000.00; only one service provider will be appointed.

Payment: within 30 days after receipt of invoice.

Delivery period after official order must be indicated (days/weeks/months).

Bid validity: 90 days after closing date.

CSD registration: required — bidders must be registered on the Central Supplier Database (https://secure.csd.gov.za).

Tax compliance: valid SARS Tax Compliance Status PIN must be submitted with the bid; failure invalidates the bid.

B-BBEE: certificate (SANAS-accredited or IRBA-approved auditor) or sworn affidavit for EMEs/QSEs required to claim preference points; failure to submit means no B-BBEE points.

Retail Motor Industry Organization: proof of registration must be attached (Schedule 1G).

Municipal accounts: bidder and directors/members/partners must not be in arrears with any municipality for more than 3 months; latest municipal account must be attached.

B-BBEE Status Level contributor: 10 points.

Bidders must submit a valid B-BBEE certificate (SANAS-accredited or IRBA-approved) or sworn affidavit (for EMEs and QSEs) to claim preference points.
