Supply and delivery of office equipment – national government RFQ (central region)

The terms and conditions for negotiations will be communicated to the shortlisted Respondents prior to invitation to negotiations. The negotiation terms and conditions may include presentations and/or site visits.

Bidders must submit their bids through the e-submission portal. The bid response documents must be completed online without changing any words. Photocopies of the original bid documentation may be used, but an original signature must appear on such photocopies. Bidders must ensure that all returnable forms are completed, signed, and submitted with the bid. Failure to do so may result in disqualification.

The evaluation will be based on administrative compliance and mandatory compliance. The bidder must be registered on the Central Supplier Database and have a valid tax clearance certificate. The bidder must also submit a completed SBD 4 form, Declaration of Interest, and SBD 6.1 form, Preference Points Claim. The evaluation criteria include the 80/20 preference point system, with 80 points allocated for price and 20 points for specific goals.

The technical specifications include the supply and delivery of office equipment for the central region. The equipment includes multi-plugs/adapters, microwave ovens, refrigerators, water dispensers, pocket knives, and digital cameras. The specifications also include the requirements for the equipment, such as minimum capacity, digital controls, and safety features.

The goods supplied must conform to the standards mentioned in the bidding documents and specifications. The supplier must permit the purchaser to inspect the supplier's records relating to the performance of the supplier and to have them audited by auditors appointed by the purchaser.

The financial requirements include the pricing schedule, which must be firm and inclusive of all applicable taxes. The bidder must also provide a valid tax clearance certificate and a completed SBD 3.1 form, Pricing Schedule. The payment terms include payment within 30 days of receipt of an approved invoice, and the payment will be made in South African Rands.

The compliance requirements include registration on the Central Supplier Database, a valid tax clearance certificate, and compliance with the Broad-Based Black Economic Empowerment Act. The bidder must also submit a completed SBD 4 form, Declaration of Interest, and SBD 6.1 form, Preference Points Claim.

The supplier must ensure that the goods supplied are safe and do not pose any health risks to the users. The supplier must also comply with all relevant health and safety regulations.

The contract will be written in English, and all correspondence and other documents pertaining to the contract must also be written in English. The contract includes the general conditions of contract, special conditions of contract, and the pricing schedule.

The Border Management Authority reserves the right to call for presentations from shortlisted suppliers or Reserves the Right to accept bids in Whole or In Part.
