Bidders must submit their bids via email to [email protected]. The bid must include a detailed pricing schedule with separate line items for project management, branding and production, delegate materials, audio-visual and technical services, décor and setup, photography and videography, entertainment, staffing, supplier costs, travel or logistics where applicable, and any other costs required to deliver the full scope of work. Late, incomplete or non-compliant submissions may be disqualified.

The bids will be evaluated on a scale of 0 – 3 in accordance with the criteria below. Company track record: Bidders are required to provide a minimum of three (3) contactable client references through written reference letters demonstrating experience in conference, event management or activations services. The proposed Creative Director and Account Manager must have specific years of experience in conference, event management or activations services.

The appointed activations agency must provide the services listed below. All work must be delivered in consultation with TGCSA and must be aligned to approved timelines, budget parameters and corporate identity guidelines. The agency must assign a dedicated project manager, develop a conference concept and implementation approach, prepare and manage a detailed project implementation plan, and coordinate planning meetings.

Bidders must have a minimum of three years’ demonstrable experience in conference, event management or activations services. They must also have proven experience managing conferences or events of a similar nature, size and complexity.

The appointed activations agency must ensure compliance with applicable occupational health and safety requirements for the event environment. They must also make provision for universal accessibility considerations in planning and on-site delivery.

Bidders must be registered on the National Treasury Central Supplier Database (CSD) with a compliant tax status.

A maximum of 80 or 90 points is allocated for price on the following basis: 80/20 or 90/10. Points for this tender (even in the case of a tender for income-generating contracts) shall be awarded for: (a) Price; and (b) Specific Goals.

The appointed service provider will be responsible for end-to-end event management support, including planning, supplier coordination, branding, delegate management, on-site execution, sponsorship sourcing, Sourcing of marketing collateral, Awards ceremony event management and post-event reporting.
