• Bids must be emailed to [email protected] NO later than 16/02/2026 at 11:00. Late submissions are rejected. • Email subject line must clearly state the RFQ number (SAST/2026/RFQ/315). • use the official sbd forms provided (sbd1‑7) – do not re‑type the forms. • Complete and sign the following annexures: request for invitation (annexure a), pricing schedule (annexure a), bidder’s declaration (sbd 4), preference points claim form (sbd 6.1) If claiming points, popia consent form and any required technical questionnaires. • Attach proof of registration on the central supplier database (csd) and provide the csd number. • Provide a valid SARS tax compliance status (tcs) pin or printed tcs certificate; each consortium/sub‑contractor must submit its own pin/csd number. • Include company registration documents (cipc), ID copies of directors, and a valid b‑bbee certificate or sworn affidavit where points are claimed. • Submit an official quotation on company letterhead together with the completed pricing schedule. • Price quoted must remain valid for at least 120 days after the closing date. • Failure to provide any of the above documents may lead to disqualification.

• Submit the written quotation by email to [email protected]. • Use official letterhead, signed and dated. • Include a signed standard bidding documents (sbd) form with the quotation. • Provide csd registration number and full csd report (only csd‑registered bidders will be considered). • State a 60‑day validity period for the quotation. • Prices must be in south african rand, inclusive of VAT, delivery, insurance and all taxes. • NO price adjustments or changes to delivery particulars will be accepted after submission. • Indicate the delivery date and warranty/guarantee period for the HVAC equipment. • Failure to provide any of the above (e.g., Missing sbd form, csd details) may lead to disqualification.

• Submit one reference letter with a contactable telephone number/e‑mail for related work. • Provide proof of at least 1 me grading or higher. • Only bidders registered on the central supplier database (csd) will be considered – include csd registration number and full csd report. • Complete and sign all standard bidding documents (sbd) forms and attach them to the quotation. • Quotation must be on official letterhead, signed and indicate validity period. • Email the quotation to [email protected] (Supply chain management) by 10:00 on 16 february 2026. • Mandatory site briefing on 09 february 2026 at 11:00 at arc roodeplaat experiment farm, r573 and moloto road, roodeplaat, pretoria – attendance is required. • Failure to meet any mandatory requirement (reference letter, me grading, csd registration, sbd forms) will result in disqualification.

- Maintenance of fire protection system, potable/raw water systems, diesel generator engines, recovery/pollution control dams, and water treatment plant clarifiers for 5 years - mandatory adherence to eskom’s sheq policy and occupational health and safety incident management procedure (32-95, rev 9) - compliance with OHS act, mine health and safety act, coida, and other relevant legislation - all incidents must be reported, classified, and recorded in sap eh&s with corrective actions documented - contractors must conduct independent investigations for incidents involving their employees and submit reports to ESKOM - records retention for at least 25 years or as legally required - zero harm principles and proactive near-miss reporting are mandatory
