Quotations will be evaluated on:

• Compliance with RFQ requirements.
• Relevant experience and demonstrated capability (3+ similar projects in last 5 years).
• Technical suitability of the proposed irrigation solution.
• Value for money.
• Proposed implementation programme.
• References from similar projects.

Ncome Museum reserves the right not to accept the lowest or any quotation.

Scope: Design, supply, installation, testing, commissioning, and handover of a comprehensive irrigation system for Ncome Museum’s landscaped and planted areas (total estimated coverage: 5,514 m²).

Key deliverables:

• Site assessment: Verify irrigation zones, water pressure/flow, and connection points to existing infrastructure.
• Design: Develop irrigation layout, pipe routes, and component specifications.
• Supply and install: Piping, fittings, control valves, sprinklers (pop-up, rotors), micro-sprayers, drip systems, controllers, filtration equipment, valve boxes, and protection chambers.
• Trenching, pipe laying, backfilling, and reinstatement.
• Water management: Establish zones, ensure efficient distribution, provide automated scheduling, and ensure ease of operation/maintenance.
• Testing: Pressure test system, demonstrate all zones, rectify defects, and commission.
• Training: Operational training for museum staff, as-built drawings, manuals, and warranty documentation.

Site-specific notes:

• Coverage includes accommodation village, main museum building, entrance precinct, walkways, and peripheral areas.
• Contractors must verify all dimensions, zones, and site conditions during the compulsory site briefing.
• Final design must optimise water-use efficiency and minimise maintenance.

Methodology requirements:

• Conduct a detailed site assessment to verify irrigation zones, planting areas, water pressure/flow, and connection points.
• Develop an irrigation layout suitable for site conditions.
• Determine pipe routes, valve locations, and controller positions during detailed design.
• Use a combination of sprinkler, rotor, micro-spray, and drip irrigation systems as appropriate.
• Optimise water-use efficiency and minimise operational/maintenance requirements.
• Verify all measurements and prepare the final design prior to installation.

Bidder requirements:

• Company profile.
• Relevant experience in irrigation system installation.
• Details of at least 3 similar projects completed in the last 5 years.
• Proposed methodology and implementation programme.
• Product specifications and technical information for key components.
• Warranty and after-sales support details.
• CIDB Grading GB 1.

Pricing requirements:

• Develop a detailed Bill of Quantities (BOQ) based on site briefing observations.
• BOQ must cover all costs: design, materials, installation, testing, commissioning, training, and VAT.
• Verify all dimensions, irrigation zones, quantities, and site conditions during the compulsory site briefing.
• No claims for incorrect assumptions will be entertained post-award.

Financial proposal must include a detailed Bill of Quantities (BOQ) covering:

• Preliminary and general costs.
• Irrigation system design.
• Pipes and fittings.
• Valves and valve boxes.
• Sprinklers and/or drip irrigation components.
• Controllers and associated electrical works.
• Trenching and reinstatement.
• Testing and commissioning.
• Training and handover.
• VAT (where applicable).
• Total project cost.

Note: Contractors must develop their own BOQ based on site briefing observations. Quotations must be all-inclusive (no hidden costs).

• Valid B-BBEE Certificate or Sworn Affidavit (failure to submit results in no specific goals points).
• CSD registration or number (Proof of CSD Report).

Contractor responsibilities:

• Protect existing infrastructure, landscaping, and services during installation.
• Ensure efficient water distribution with minimal wastage.
• Provide automated scheduling capability where applicable.
• Ensure system operability and maintainability by museum personnel.
• Pressure test the entire system, demonstrate all zones, rectify defects, and commission.
• Provide operational training, as-built drawings, manuals, and warranty documentation for all equipment.
