Occupational hygiene surveys and ergonomics assessments are required for the road accident fund's east london office, delivered by an appointed service provider for the duration of the contract. The appointment carries substantial information-security obligations: the provider will hold raf confidential, personal and sensitive records and must operate policies that satisfy both raf's technical and organisational security measures and the protection of personal information act, 4 of 2013. The decisive consideration for bidders is that the physical, digital and contractual controls must be demonstrable — lockable transport and storage, monitored premises, encryption, a documented breach-response plan and vetted subcontractors — because raf reserves the right to audit compliance and to screen company directors and deployed staff.
Closing: bids close on 16 October 2026 at 10:00.
POPIA compliance: the provider must hold policies meeting both RAF requirements and the Protection of Personal Information Act, 4 of 2013, and must protect RAF confidential, personal and sensitive records against unauthorised access, disclosure, alteration and destruction.
Secure handling and storage: files must move in a lockable transport system and be kept in lockable containers and cabinets, with accurate records of each document's location, access history and retention schedule, plus a detailed log of every retrieval (date, time, requester identity and reason).
Premises security: controlled perimeter and access points, secure doors, locks and alarms, surveillance cameras and/or 24/7 monitoring, and a fire suppression system or carbon dioxide extinguishers; any real, attempted or suspected breach must be reported to RAF with CCTV footage, a police report and linked alarm records.
Digital security: firewalls, intrusion detection and encryption on storage systems, encryption of data in transit and at rest using industry-standard protocols, regular patching of systems and software, and access granted on a need-to-know basis with strong authentication and regular permission reviews.
Breach response: a documented incident response plan to address and mitigate data breaches promptly, with security incidents and data breaches reported to RAF without delay.
Subcontractors and vetting: subcontractors must meet the same data protection and cybersecurity standards and sign a data protection agreement, the provider remains responsible for their compliance, and RAF may screen or vet company directors and deployed resources and audit the provider's compliance at any time.
