Evaluation uses the 80/20 preference point system: 80 points for price, 20 points for specific goals. Only bidders that pass mandatory compliance and achieve the minimum functionality threshold proceed to price and specific goals evaluation. The lowest or only quotation will not necessarily be accepted. Iziko reserves the right to accept or reject any quotation and to withdraw the RFQ at any time before award.

Event: Arab Priest Exhibition Opening on 23 September 2026 at Iziko South African National Gallery, 17:00-22:00, estimated 350 guests. Required services: professional PA system for indoor presentations; 1 podium; 2 wireless handheld microphones; 2 lapel microphones; audio technician; MC and entertainment (1 artist/band); photography and videography (5 hours, exact times tbc); 1 stage 3x3 m with stairs; 2 medics; 2 VIP ablution facilities. Photography/videography gear: high-end professional camera able to shoot full 4K (e.g. Sony A7 III or Canon R5 Mk2 or equivalent), premium lenses (wide angle and 24-70mm mid-range zoom), 4K DJ drone for aerial videography, premium microphones. Outputs: 2 highlight videos (1 long format 16:9, 1 short format 9:16, 30-50 seconds).

The successful service provider must supply, install, operate and dismantle all required infrastructure, technical equipment and event support services for the Arab Priest Exhibition Opening on 23 September 2026. This includes providing or facilitating payment for all labour, transport, installation, operation, dismantling and technical support. Required services include PA system, podium, microphones, audio technician, MC and entertainment, photography and videography, stage, medics and ablution facilities.

Bidders must complete the pricing schedule; the total evaluated bid price (including VAT) is used for price evaluation under the 80/20 preference point system. Only amounts captured on the pricing table are considered. No additional costs, disbursements or incidental charges will be paid unless disclosed in the bid and approved in writing by Iziko before being incurred. Bidders must attach a breakdown of assumptions, resource categories and rates used to prepare pricing. Pricing must be valid for 90 days after the closing date.

Bidders must be registered on the Central Supplier Database (CSD) and provide a CSD report with supplier number, company details and tax status verification pin. Must hold a valid B-BBEE certificate or sworn affidavit. Must provide a valid tax certificate and/or tax pin.
