The south african medical research council (samrc) is seeking market information on commercially available high-capacity cryogenic storage systems that can maintain all stored biological samples below −150°c during normal operation without connection to an external liquid nitrogen (ln2) supply and without routine ln2 replenishment. The target application is dry vapour-phase storage of at least 30,000 2 ml cryovials, with emphasis on demonstrated operational autonomy, temperature performance, monitoring, and total cost of ownership. This is a request for information only — responses are not evaluated as bids and confer NO advantage in any future procurement. The single most consequential consideration is that only systems requiring NO external ln2 supply and NO routine ln2 replenishment during normal operation meet the mandatory requirement.
Mandatory capability: The proposed system must maintain all stored samples below −150°C during normal operation (mains power available) without connection to an external LN2 supply and without routine LN2 replenishment; any LN2 addition during normal operation must be declared with volume and frequency.
Minimum capacity: The system must provide cryogenic storage for at least 30,000 2 mL cryovials, using dry vapour-phase storage with validated temperature performance at the warmest storage location and stability during routine access.
Mandatory features: Continuous temperature and LN2 level monitoring with local audible/visual alarms and exportable logs; remote alarm notifications or institutional alarm interfaces; password-protected access with configurable user roles; offline operation without network connectivity; oil-free cooling or equivalent reliability; compatible racks for 10 × 10 and 5 × 5 cryoboxes with a rack map.
Warranty and support: Provide a minimum 12-month comprehensive warranty, a five-year service and maintenance plan, local technical support, remote response within 24–48 hours, on-site attendance within 5 business days for non-critical faults and within 48 hours for critical downtime faults (where locally available).
Submission deadline: Responses must be submitted by email to [email protected] by 17 November 2026 at 11:00 (SAST). A complete response must include Part A, Part B, system overview, technical and commercial details, Appendix A – Functional Requirements Matrix, Appendix B – Commercial Response Schedule, and supporting documentation (brochures, datasheets, validation records).
Pricing and TCO: Provide indicative pricing in Appendix B for the base system, accessories, installation, commissioning, training, monitoring software, warranty, consumables, UPS/backup, and shipping/insurance/duties; distinguish mandatory vs optional costs and provide Year 1, 3-year and 5-year total cost of ownership with assumptions (currency, VAT, escalation, LN2 consumption).
No pre-qualification thresholds: This is a request for information only — no CSD registration, tax clearance, B-BBEE, CIDB or other compliance evidence is required for participation; responses are not evaluated as bids and confer no advantage in any future procurement.

RFI cryostorage system UCT Final.docx
Supply of high-capacity cryogenic storage systems for the South African Medical Research Council, capable of holding at least 30,000 2 mL cryovials in dry vapour phase below −150°C without connection to an external liquid nitrogen supply and without routine LN₂ replenishment during normal operation. The RFI gathers market, technical and indicative pricing information, including three-year and five-year total cost of ownership, to inform future procurement planning.

The SAMRC requires market information on commercially available high-capacity cryogenic storage systems that maintain dry vapour-phase storage below −150°C during normal operation without relying on an external liquid nitrogen supply or routine LN₂ replenishment. The aim is to reduce dependence on LN₂ deliveries and central supply, while protecting biological sample integrity during supply interruptions, delivery delays, infrastructure failures or restricted site access. The RFI seeks to assess technology, market maturity, installation, monitoring, support and total cost of ownership to inform future procurement.
