The municipality requires the supply and delivery of 120 tracksuits, 120 t-shirts and 120 cricket sun hats for the 2026 provincial disability games, branded with the amajuba district municipality logo and the event wording. Quotations are invited from service providers registered on the central supplier database and are evaluated on the 80/20 preference point system, with 80 points for price and 20 points for specific goals. The most consequential consideration is that the 20 goal points are awarded only if the supporting proof — csd or company registration certificate, ID copies, medical certificate and municipal account — is submitted with the quotation. All items must be delivered by 20 november 2026, and quotations must be hand-delivered in a sealed, correctly endorsed envelope by 12h00 on thursday 5 november 2026.
Closing and submission: Thursday 05 November 2026 at 12h00. Hand delivery only — a sealed envelope endorsed "Quotation No. Q2026/12: SUPPLY AND DELIVERY OF 120 TRACKSUITS, T-SHIRTS AND HATS FOR 2026 PROVINCIAL DISABILITY GAMES" into the tender box at Reception, Amajuba District Municipality, B9356 Amajuba Road, Section 1, Madadeni. Emailed, late, unsealed or incorrectly numbered envelopes are not considered.
Evaluation: 80/20 preference point system — 80 points for price, 20 points for specific goals, 100 in total. Price scores on Ps = 80 x (1 - (Pt - Pmin)/Pmin). The municipality is not obliged to award the lowest or any quotation.
Specific goals points (maximum 20) and proof: business more than 50% black-owned 5 points (company registration certificate or CSD report); female ownership 5 points (ID copies or CSD report); youth 3 points (ID copies or CSD report); disability 2 points (medical certificate); business located in Amajuba District Municipality 5 points (municipal rates and taxes or municipal charges account, or CSD report). Points claimed without the proof at submission are forfeited.
Delivery deadline and specification: all 120 tracksuits, 120 t-shirts and 120 sun hats delivered by 20 November 2026. Tracksuits are navy slim fit in yarn with 50% Parley Ocean Plastic, embroidered ADM logo and back print; t-shirts are white round neck 180 gsm with navy writing; hats are navy cricket sun hats with the ADM logo. Size split for tracksuits and t-shirts: XS 5, S 5, M 20, L 40, XL 30, 2XL 15, 3XL 5.
Compliance documents: CSD registration, printed SARS tax pin or TCS certificate (income tax reference number, security pin and TCC number), company registration documents, certified ID copies of all members or directors, bank details with an original cancelled cheque or bank letter, and a current municipal account for the company and each director not in arrears for more than 90 days (or a lease agreement, SAPS-commissioned affidavit, or traditional council and ward councillor proof of residence where applicable). Joint ventures, consortia and subcontractors must each submit a separate TCS/PIN/CSD.
Mandatory forms: all Municipal Bid Documents must be completed and signed — Part A Invitation to Bid, MBD 4 Declaration of Interest, MBD 6.1 Preference Points Claim, MBD 8 Declaration of Past Supply Chain Management Practices and MBD 9 Certificate of Independent Bid Determination. Incomplete forms or incorrect declarations render the bid non-responsive, and the successful bidder signs the MBD 7 written contract on award.
Pricing and payment: quote on the bill of quantity with unit prices and totals for tracksuits (pants and top) 120, t-shirts 120 and sun hats 120, showing the total before VAT, VAT for VAT vendors, and the total. Prices are fixed, invoices must be accompanied by a copy of the delivery note, and payment is due within 30 days in Rand. Goods must be new and unused, with a 12-month warranty after delivery and acceptance.
