Maintenance of fire sprinkler, hose reels and hyrdant system for 24 months

• Submit the signed Form of Offer and Acceptance with the total price inclusive of VAT.
• The contractor must not cede, delegate, or assign any rights or obligations without the Employer's written consent.
• After acceptance, the contractor must contact the Service Manager within two weeks to arrange delivery of bonds, guarantees, and proof of insurance.
• Failure to provide required documentation constitutes a repudiation of the agreement.
• The contractor has five working days after receiving the signed agreement to notify the Employer of any reasons they cannot accept its contents.

Contractor must be registered legal entity with valid registration number. Must have qualified key personnel with relevant experience (CVs required). Must demonstrate compliance with OHS Act and Construction Regulations. Must have valid insurance coverage including public liability insurance. Must provide proof of compensation fund registration. Must maintain valid BBBEE and tax clearance certificates throughout contract period.

• Scope: Maintenance, annual service, and inspection of sprinkler systems, hydrants, and hose reels at Cape Town International Airport for 24 months.
• The service must be performed in accordance with the Service Information in Part C3.
• The contractor must provide a detailed plan (Contractor's Plan) within 30 calendar days from the contract date.
• Key personnel CVs must be appended to the tender schedule.
• A baseline risk assessment must be performed by a competent person before work commences.
• Specific maintenance activities include annual servicing of fire hydrants, hose reels, pump stations, diesel engine tests, audits, flow tests, and sprinkler valve testing.

• The contractor must perform a baseline risk assessment by a competent person before work commences.

• The contractor's key people must have CVs appended to the tender schedule.
• The contractor must identify and manage risks including site access, delays, safety adherence, and hazards related to aircraft and hazardous substances.

• The contractor must provide the service in accordance with the Service Information and warrant that the results will be fit for purpose.
• Specific maintenance tasks include annual servicing of fire hydrants, hose reels, and pump stations, diesel engine tests, audits, flow tests, and sprinkler valve testing.

• The pricing schedule includes administrative costs (permits, training, inductions), preventative maintenance activities, and a provisional sum for ad-hoc repairs and spares.
• Prices are VAT-exclusive and must cover all costs, risks, and obligations.
• Payment is made per activity only upon completion.

• Pricing must be submitted as VAT-exclusive amounts covering all risks, liabilities, obligations, profit, expenses, and allowances.
• Payment is made for each activity only upon completion.
• The contract uses a priced contract with a price list (Option A).
• The currency is South African Rand (ZAR).
• Payments are made within 30 days, assessed on a 30-day interval.
• Price adjustment for inflation occurs only on contract anniversary using the CPI index.
• A provisional sum of R500,000 is allocated for ad-hoc repairs and spares, drawn upon as needed over the 24-month period.

• The contractor must annually present a compliant B-BBEE Certificate and a valid Tax Clearance Certificate.
• Failure to provide these is a material breach and may lead to contract cancellation.
• The contractor must have aviation liability insurance cover of at least R300,000 and submit proof before work starts and annually.
• The contractor must comply with the Occupational Health and Safety Act and Construction Regulations.
• All employees must undergo routine medical examinations and be medically fit for work.
• A detailed emergency response procedure must be submitted to the Client's OHS Department before work starts.

• The contractor must ensure all employees are provided with and wear adequate personal protective equipment (PPE).
• All plant, machinery, equipment, and vehicles must be sound, fit for purpose, and comply with OHS Act requirements.
• A joint risk assessment is required if contractor equipment interfaces with Client equipment.
• Work requiring a permit must not proceed without an approved permit.
• All road vehicles must be roadworthy, licensed, insured, and drivers must have valid licenses.
• The contractor must ensure all employees undergo routine medical examinations and are medically fit.
• A detailed emergency response procedure must be submitted to the Client's OHS Department before work starts.
• All safety, health, and environmental incidents must be reported to the Client within two hours.

• The work site must be maintained with a reasonably practicable level of hygiene and cleanliness.
• No loose materials should be left lying about; waste must be cleared regularly and upon completion.

• The contractor indemnifies the Client against liability, loss, claims, or proceedings arising from contract execution, unless attributable to Client fault.
• The contractor must comply with the Occupational Health and Safety Act and ensure all employees and subcontractors do the same.
• Only a duly authorised representative appointed under Section 16(2) of the OHS Act can sign the agreement on behalf of the contractor.
• Insurance requirements include aviation liability cover of at least R300,000, with proof submitted before work starts and annually.
• The contractor's liability for indirect or consequential loss is limited to nil.
• The contractor's total liability for all matters (excluding specified excluded matters) is limited to the total of losses incurred and/or repair costs.

• The contractor cannot cede, delegate, or assign any rights or obligations without the Employer's written consent.
