Returnable Documents: The bidder must complete and submit the SBD 4 declaration form. The bidder must declare any state employment, relationships with procuring institution employees, and interests in other related enterprises. The declaration must be signed and dated. Bids will be disqualified if the declaration is found to be false or incomplete.

Open to all tenderers, but award is based on a scoring system combining price and specific goals (BEE). To claim preference points, the tenderer's enterprise must demonstrate at least 51% ownership by the designated groups: black persons, women, youth, or persons with disabilities. The tenderer must be a legally registered company/firm (types listed include Pty Ltd, Close Corporation, Public Company, etc.).

For Disabled: medical certificate from HPCSA-registered practitioner. All certified documents must be dated within 6 months of the closing date. Late submissions will not be accepted.

• Quoted prices must be firm and valid for the duration of the order.
• Prices dependent on exchange rates must factor in potential escalations.
• Stats SA will not provide upfront payment.
• Payment will be made upon receipt of goods/services and within 30 days of receiving a valid invoice.
• Stats SA reserves the right to negotiate prices with the successful supplier.

• You must be registered on the Central Supplier Database (CSD).
• Required documents to submit include:

• E-filing copy of a valid Tax Clearance Certificate.
• Certified copy of ID document (not older than 6 months).
• Certified copy of company registration (CIPC) (not older than 6 months).
• Certified copy of a BBBEE certificate or Sworn Affidavit (not older than 6 months).
• Where applicable, a certified copy of OEM certification documents.

• All certified copies must have a Commissioner of Oath stamp dated within 6 months of the quotation closing date. Documents older than 6 months or missing the stamp, signature, or date will be rejected, resulting in zero points for the related specific goal.
