• Parts must be supplied to OEM specifications.

• Parts must be delivered to Bredasdorp at the supplier's cost.
• Full detailed specifications (brochures or catalogues) for quoted items are required.

• Submit Schedule 1F: A schedule of work experience listing similar projects completed in the last 5 years, including employer details, contract value, and dates.
• Submit proof of registration with the Retail Motor Industry Organization (Schedule 1G).
• Past performance references may be requested from previous clients.

• Goods supplied must conform to the standards and specifications in the bidding documents.
• The purchaser may inspect, test, or analyse goods at any stage; costs for non-compliant goods are borne by the supplier.
• The supplier must allow inspection of records and premises by the purchaser or its representative.
• Confidentiality: The supplier cannot disclose contract details without prior written consent.

• Complete the official pricing schedule with itemised prices excluding VAT, subtotal, VAT at 15%, and gross total.
• Prices must include all costs (labour, transport, etc.) and be inclusive of VAT.
• Indicate delivery period after official order (in days/weeks/months).
• The bid amount must be written in words and figures; in case of discrepancy, the words prevail.
• The total RFQ value is below R300,000.

• Prices must be quoted in South African Rand, inclusive of VAT at 15%.
• The bid amount must include all costs: labour, transport, and any other expenses.
• Prices are fixed for the financial year; no adjustments other than disclosed percentage increases allowed.
• Indicate if the bidder is a registered VAT vendor and provide VAT number if applicable.
• Non-VAT vendors must reflect the same amount in both excluding and including VAT columns.
• Incomplete pricing schedules will render the bid non-responsive.
• The total RFQ value is below R300,000; only one service provider will be appointed.
• Payment terms: The Municipality undertakes to pay within 30 days after receipt of a valid invoice.

• Tax Compliance: Submit a valid Tax Compliance Status PIN issued by SARS, or a printed TCC. Failure to submit will invalidate the tender. For consortia/JVs, each party must submit separately.
• Central Supplier Database (CSD): Bidders must be registered on the CSD (https://secure.csd.gov.za). Provide CSD registration number.
• B-BBEE: Submit a valid B-BBEE certificate or sworn affidavit (for EMEs/QSEs) to qualify for preference points.
• Municipal Accounts: Provide a latest municipal account as proof that municipal rates and service charges are not in arrears for more than 3 months. If leasing, attach a lease agreement.
• Company Registration: Submit certificate of incorporation (CK2) or equivalent.
• Retail Motor Industry Organization: Provide proof of registration with the Retail Motor Industry Organization.
• Authority of Signatory: Complete and sign the relevant authority certificate (Schedule 1A).
• Enterprise Questionnaire: Complete Schedule 1B with full enterprise and principal details.
• No bids will be considered from persons in the service of the state.

• B-BBEE preference points are allocated under Specific Goals: B-BBEE Status Level contributor carries 10 points.
