Submit all documentation as per the SHE File Index to ACSA at least 7 days before work starts. A signed Section 37(2) OHS Act Agreement is mandatory before any work begins. Subcontractors must also sign a similar written agreement with ACSA. Notify ACSA prior to starting work and whenever the scope changes. Non-compliance may lead to penalties or contract suspension after a 14-day written notice to remedy.

Joint ventures must submit a signed Joint Venture Agreement and separate compliance documents for each partner. Failure to submit any required document may disqualify the bid.

Bids must be on original documentation, completed in black ink (no erasable ink, correction fluid, or tape). Late, incomplete, emailed, or faxed bids will not be accepted. Bids addressed to municipal officials in a personal capacity will be disqualified. Couriers must ensure bids are placed in the tender box; the municipality is not liable for courier errors. Bids must remain valid for 120 days after closing. Only bids submitted on official forms will be accepted. Proof of submission is not proof of receipt.
